Document Controller (Shipyard/Offshore Rig)


Position Overview: The Document Controller is responsible for managing the systematic flow, registration, and archiving of all technical and commercial documentation related to rig construction, conversion, or repair projects within the shipyard. This role ensures that all project stakeholders have access to the most current, approved information while maintaining strict compliance with industry standards and safety regulations.

Key Responsibilities

Document Management & Control:

  • Maintain the documents for all project-related drawings, specifications, and procedures.
  • Manage the “Master Document Register” (MDR) to track the status of all deliverables.
  • Ensure all incoming and outgoing documents are properly coded, numbered, and version controlled
  • Distribute technical drawings and documents to relevant departments (Engineering, HSE, QA/QC, and Operations).
  • Coordinate the review and approval cycles between the shipyard, the client, and third-party classification societies (e.g., ABS, DNV).
  • Process and track Requests for Information (RFIs) and Field Revision Instructions (FRIs).

Project documents

  • Support the collection of invoices etc
  • Meet with the project regularly.

Reporting:

  • Generate weekly/monthly progress reports regarding document status and outstanding approvals.
  • Alert Project Managers to potential delays in the documentation pipeline that may affect the construction schedule.

Requirements:

  • Minimum of 1–3 years of experience in document control, specifically within the Oil & Gas, Marine, or Offshore Renewables sectors.
  • High proficiency in Microsoft Office Suite and Adobe Acrobat Pro.
  • Diploma or Degree in Business Administration, Engineering, or a related field.
  • Working remotely but with a location on-site.
  • Development to working on projects on-site on a full-time basis.
  • Precision in tracking revisions is critical for rig safety and compliance.
  • Ability to understand technical terminology related to rig systems and shipyard operations.
  • Strong interpersonal skills to liaise effectively between multi-disciplinary teams and international clients.
  • Comfortable working in a fast-paced shipyard environment with shifting deadlines.
  • Preferably bi-lingual capabilities in English, Bahasa Malaya and Mandarin
